PADS breeds, raises and trains fully certified assistance dogs. Our service (mobility & PTSD) and hearing dogs provide life-changing independence to those with disabilities other than blindness. Our accredited facility dogs work with community professionals, such as teachers, RCMP and psychologists to help support wellness in our community.
We’re proud of the fact that we were the first fully accredited member of Assistance Dogs International in Canada.
ABOUT THE POSITION
The Executive Manager is an essential role within PADS, providing executive and governance support to the CEO and Directors of Programs and Finance & Operations. The Executive Manager will work with the Finance & Operations team to provide front-office support. The Executive Manager is responsible for tracking and implementing donor stewardship and recognition activities and will work closely with the Fundraising & Communications Team. The successful candidate will be someone who has experience in this type of role, is comfortable taking initiative, working in a fast-paced environment and juggling multiple tasks.
Executive Management
- Manage CEO calendar and email
- Anticipate needs and help prepare for meetings, events
- Provide some administrative support to Directors of Programs, Finance & Operations and Fundraising & Communications
- Prepare CEO expense reports
- Book travel and reservations
- Manage subscriptions and renewals
- Liaise with donors and other funders as needed
- Liaise with volunteers as needed
- Help with correspondence and tracking donor engagement activities in the CRM
Governance Support
- Work with CEO and Director of Finance & Operations to manage all governance and regulatory processes for the Foundation
- Support governance documentation, including Board and Committee agendas, meeting materials and packages, minutes
- Attend Board and Committee meetings and take minutes
- Schedule Board and Committee meetings and teleconferences
- Support new Director onboarding, including the preparation of paperwork
- Oversee the Board folder(s) in the shared directory
Fundraising & Communications Support
- Lead the implementation of the donor stewardship and recognition plan
- Engage other PADS departments in donor stewardship and recognition
- Issue and distribute thank you letters and tax receipts
- Update the CRM
- Contribute to Fundraising & Communications materials
- Support and/or manage donor stewardship events in partnership with other team members
- Manage and coordinate all Litter Sponsorships
Office Support
- Answer the main phone line and direct/transfer callers as needed
- Monitor, respond and distribute messages from shared email inbox(es) as needed, especially donations@pads.ca
- Greet visitors to the main office and direct them as needed
QUALIFICATIONS & SKILLS
Technical Qualifications
- Relevant post-secondary institution courses, certificate and/or diploma
- 3+ years of executive assistant experience to an ED or CEO
- 3+ years of governance experience in the non-profit sector
- Proficient with MS 365
- 3+ years of project management experience
- 3+ CRM experience (Salesforce considered an asset)
- Proven track record in donor stewardship and recognition
- Proven track record in developing and implementing events, including budget management

WORKING CONDITIONS & COMPENSATION
Location: Burnaby, BC
Employment Type: Full-time
Work Arrangement: Based at our Burnaby Campus in a standard office setting, with the option for a hybrid work arrangement.
Hours: Monday to Friday, 7.5 hours per day. Occasional evening or weekend work may be required
Compensation: $70,000 – $85,000 annually as a starting salary based on a 37.5-hour work week. A benefits package is available after the 3-month probation period.
