OVERVIEW
The Office and Accounting Manager plays a central role in ensuring smooth daily operations across both administrative and financial functions. This position combines hands-on accounting duties with responsibilities for overseeing the Burnaby campus, managing organizational assets such as vehicles, supervising the Office and Facilities Coordinator, and providing back up support for the IT and Systems Manager. The ideal candidate is detail-oriented, proactive, and comfortable balancing transactional accounting with operational leadership.

ABOUT THE POSITION
Accounting
- Create and issue donation and sponsorship revenue invoices and work with the Fundraising team to send them to donors and partners.
- Process accounts payable, including invoice verification, coding, data entry, and vendor communication.
- Record and track incoming revenue, including donations, grants, and program fees; ensure timely documentation, coding and reconciliation in alignment with funder requirements and internal controls.
- Work closely with the Fundraising team to ensure charitable tax receipts are issued accurately and in a timely manner, in full compliance with CRA charitable tax receipting guidelines.
- Reconcile bank statements, credit card statements, vendor accounts, and other financial records.
- Reconcile bank and accounting records with the CRM.
- Maintain accurate and organized financial files.
- Assist with month-end and year-end closing activities, including journal entries and account reconciliation.
- Audit preparation and documentation requests.
- Ensure compliance with internal financial controls and accounting procedures.
- Manage and reconcile petty cash.
- Prepare regularly recurring and on-demand financial reports for senior and executive leadership as requested.
- Support financial analysis as needed.
Office Management & Campus Oversight
- Oversee day-to-day operations of the Burnaby campus, ensuring a safe, functional, and well-maintained environment.
- Collaborate with other PADS staff to answer telephone and email enquiries and greet visitors to the Burnaby campus as needed.
- Provide oversight and guidance to the Office & Facilities Coordinator, who is responsible for coordinating vendor and contractor activities for building maintenance, repairs and facility improvements.
- Oversee the Office & Facilities Coordinator’s management of office supplies, equipment, and service contracts.
- Provide oversight of organizational vehicles, with the Office & Facilities Coordinator completing scheduling maintenance, tracking usage, and ensuring compliance with insurance and safety requirements.
- Develop and implement office procedures to improve efficiency and support staff needs.
- Act as the primary point of contact for campus-related issues, escalating concerns as needed.
- Support IT and Systems Manager, including vacation coverage for support email (Microsoft365 and Salesforce)
- Employer representative to Joint Health and Safety Committee
Leadership & Supervision
- Directly supervise the Office and Facilities Coordinator, providing guidance, performance feedback, and support in daily operations.
- Delegate tasks effectively and ensure timely completion of facilities, administrative and operational responsibilities.
- Foster a positive, collaborative and service-oriented office culture.
QUALIFICATIONS
Experience & Behavioural Qualifications
- Excellent organizational skills with the ability to manage multiple priorities.
- Strong communication and interpersonal skills.
- Experience supervising staff or coordinating teams is an asset.
- Ability to work independently, exercise sound judgement, and maintain confidentiality.
- Familiarity with facilities coordination or campus operations is preferred but not required.
Education & Technical Qualifications
- Strong understanding of basic accounting principles and proficiency with accounting software (experience with Xero an asset).
- Accounting, administrative or office management courses considered an asset.
- Efficient use of PC s, the internet, and Microsoft 365 suite. Ability to learn new software as required.
- Experience with Salesforce is an asset
- Valid B C Driver’s License, at a minimum level of Class 5

Location: Burnaby, BC
Employment Type: Full-time
Work Arrangement: Based at our Burnaby Campus in a standard office setting, hybrid work a possibility.
Hours: Monday to Friday, 7.5 hours per day, with the occasional additional evenings and weekends.
Compensation: $60,000 – $70,000 annually as a starting salary based on a 37.5-hour work week. A benefits package is available after the 3-month probation period.
