OVERVIEW

The Puppy Raising Coordinator supports the Puppy Raising Department through a blend of coordination, volunteer support, resource development, logistics, and administrative follow-through. This role helps create a strong experience for volunteers and staff while supporting puppies as they move through key program milestones. 

Reporting to the Senior Manager, Puppy Raising, the Puppy Raising Coordinator contributes to the PADS mission by helping keep program resources clear, events and milestones organized, records current, and day-to-day work moving. The ideal candidate is organized, self-motivated, compassionate, and comfortable working with staff, volunteers, puppies, and dogs in training.

ABOUT THE POSITION

Resource Development 

  • Organize and maintain staff and volunteer-facing Puppy Raising resources in SharePoint so materials are easy to find, use, and keep current. 
  • Support simple page updates, layout improvements, document organization, and resource cleanup. 
  • Audit resources for outdated, duplicate, or missing content and coordinate updates to forms, checklists, templates, and volunteer-facing materials. 
  • Lead small resource improvement projects that improve clarity, accessibility, and ease of use. 

Coordination and Volunteer Support 

  • Schedule and coordinate key program events and milestones, including logistics, communication, staffing, and post-event follow-up. 
  • Prepare event checklists, run-of-show documents, and volunteer communications. 
  • Support scheduling, logistics, and follow-up for volunteer learning opportunities, program events, and team-led initiatives. 
  • Liaise with Volunteer Services on volunteer experience, retention, and workflow improvements. 
  • Support program coordination tasks that help puppies, volunteers, and staff move through key program milestones smoothly. 

Administration and Data Tracking 

  • Track required forms, trainer submissions, and follow-through. 
  • Send friendly, consistent follow-ups for missing or incomplete items. 
  • Flag recurring gaps or delays to Puppy Raising leadership. 
  • Update CRM records as necessary and upload video or resource materials for staff access. 
  • Prepare weekly visibility updates summarizing completed work, in-progress items, and flags. 

Supplies and Equipment Management 

  • Maintain puppy pack inventory and restocking schedules. 
  • Track cape and tag requests through completion. 
  • Support supply forecasting, purchasing, and maintenance of Puppy Raising-related equipment and supplies. 

Operational Improvement Projects 

  • Identify recurring process gaps and propose practical improvements. 
  • Support onboarding workflow cleanup, checklist creation, and implementation tracking for new systems. 
  • Gather trainer input, summarize themes, and draft proposed next steps for small improvement projects. 

What You Bring 

  • Demonstrated calm and compassion under pressure. 
  • Strong organization, time management, and attention to detail. 
  • Experience coordinating events, schedules, logistics, or administrative workflows involving multiple stakeholders. 
  • Comfort providing clear, timely follow-up and keeping tasks moving across multiple people or teams. 
  • A solid record of positive, productive working relationships. 
  • Sound judgment, appropriate confidentiality, and professionalism in conduct and interactions. 
  • A commitment to canine welfare, lifelong learning, and professional development. 
  • Experience working in the non-profit sector is an asset. 

Education and Technical Qualifications 

  • Post-secondary education is considered a strong asset. 
  • Clear, receptive verbal and written communication style when working with PADS staff, volunteers, and the public. 
  • Comfort using Microsoft Office, SharePoint, and basic database or CRM systems, including creating and updating simple SharePoint pages and learning new platforms. 
  • Demonstrated ability to draft and edit written instructions, checklists, templates, and volunteer-facing resources. 
  • Familiarity with adult learning principles, volunteer education, canine development, or positive reinforcement-based training methods is an asset. 
  • Valid BC Driver’s License, at a minimum level of Class 5. 
  • Ability to work a flexible schedule when required. 

Working Conditions 

  • This position is based at the Burnaby Campus in a standard office setting, with hybrid work possible. 
  • This role includes regular work around puppies and dogs in training, including interaction and physical contact. 
  • Some physical tasks may be required, including working outdoors in a variety of weather conditions. 
  • Ability to grip a leash, administer kibble to dogs, lift up to 40 lbs., and safely handle dogs weighing up to 90 lbs. as required. 
  • Regular exposure to dog bodily fluids may occur. 

Details 

  • Location: Burnaby, BC 
  • Employment Type: Full-time 
  • Work Environment: Based at the Burnaby Campus in a standard office setting, with hybrid work possible. This role includes regular work around dogs and puppies. 
  • Hours: 7.5 hours per day, Monday to Friday, with occasional weekends and evenings as required. 
  • Compensation: $55,000 annually based on a 37.5-hour work week. A benefits package is available after the 3-month probation period.
